Technology

MBI Associates uses the absolute latest cutting edge technology. From Enterprise Class servers to biometric user authentication, you can be sure that our technology will make all of our transactions smooth and secure.

Our servers are Enterprise Class, Windows Server 2003 based, with fully redundant storage and other critical components. All data stored on our servers is completely secure. Even within our organization, only those employees who have a direct need to access the data, can do so. Access to any data on our network is only granted on a "need to know" basis for all employees.
 
Data Retention Practices:
Complete files and records for each account will be maintained by MBI and made available to the client for inquiries, inspection or audit. Most client inquiries are answered within 24 hours. Paper documents are scanned and the paper copy destroyed in compliance with HIPAA. The scanned documents as well as all other electronic records are kept for seven years. We perform an annual purge of data from our collection software, with a back up copy stored on our servers for seven years.
 
Remote Access: 
We use primarily CISCO VPNs to access remotely our clients’ systems. Remote access allows us to check payments, notes on the account and gather other necessary information to better serve our clients.
File transfer:
We make getting your records to and from us as easy as possible. WE offer both standard and secure FTP. You can FTP your data to us securely using PGP or other encryption technology that ensures that your data not only gets there fast, but is secure and highly encrypted. This encryption system is not only a powerful industry standard, but is also freely and easily obtainable from the internet. Remittances and reports can be returned electronically via FTP with PGP data encryption software or via email with data encryption used with WinZip.
 
Security and Disaster Recovery: 
We perform nightly full backups of all critical server data and remove it to a secure off-site storage several times per month. Even in the worst case scenario (total loss of our data center), we would be able to get back online with full backups of our data in a fraction of the time it would take a less technologically responsible competitor.

Beyond hardware redundancy, we regularly perform "hot" backups between servers. Any single server outage will not result in days of tedious tape backup restores. All data from each server is kept "hot" on another server for rapid restoration.

All workstations are heavily secured using local firewalls on every machine and biometric authentication. This ensures that no one will access systems or data that isn't authorized.

Our network is protected by Microsoft's latest Enterprise Firewall solution: ISA (Internet Security and Acceleration) Server 2004.

All outside access is fully encrypted and authenticated against both the ISA Firewall and our internal authentication servers.



Relationship Managers
Relationship Management is an integral element in our concept of managing client relationships. The objective of RM is to provide easy and timely communication. You will be assigned a dedicated Relationship Manager, who will be your single point of contact for fulfilling all of your requirements. Your Relationship Manager will be someone who knows you and your company and can develop and use the strategies that will be most effective for your particular business. You’ll never have to wonder who to call for progress reports



Compliance
MBI fully complies with: FDCPA, FCRA, HIPAA, EEOC and all Federal and State regulations. We are Licensed, Bonded and Insured.
MBI operates according to the Fair Debt Collection Practices Act, The Fair Credit Reporting Act, The Health Insurance Portability and Accountability Act (HIPAA).

MBI also complies with all Federal and State regulations and other applicable statutes, policies and requirements for the billing and collection industry. We receive regular updates on laws and best practices for the Collection industry and have all debtor correspondence approved by ACA attorneys. All HIPAA regulations have been implemented and are strictly adhered to and we have certified HIPAA compliance officers on staff.

Confidentiality and privacy is of great importance to everyone at MBI.

We regularly receive confidential information as part of our normal client relationships. To breach a confidence or to use confidential information improperly or carelessly would be unthinkable. We never sell, rent or give credit or personal information to any third parties under any circumstances. We will only share personal customer information with our agents, representatives, service providers, and contractors for limited purposes, necessary for fulfilling our job functions. All financial, personal and medical records are stored securely.

When documents need to be disposed of, they are destroyed onsite by an industry leading document management company, under the direct supervision of an officer of MBI.

All of our employees sign a confidentiality and non disclosure agreements.

Reports



We offer the following reports:




Monthly Acknowledgement Reports

Alphabetical or numeric listing of new accounts reflecting the patient’s name, admission and discharge dates, admission number, billed amount and referral date, generated within 15 days of referral. Example of this report is Exhibit #3.

Monthly collection/remittance reports

Monthly report of payments received by MBI or the Provider. Our remittance report shows the total
collections and fees earned on a monthly basis. Example of this report is Exhibit #4.

Uncollectible Reports

Monthly report showing uncollectible MBI codes with a detailed reason for each. Example of this report is Exhibit #5.

Client/Status Inventory Reports

Our regular client inventory gives a broad based look at all accounts that have been sent for collections. It shows the balance due on all accounts placed with us, the last payment date and the status of each account. Example of this report is Exhibit #6.

Custom Reports

Reports can be customized to meet the specific needs of the client.

Example of custom reports:
Our YTD remittance report shows the figures for each entity as well as a report on all those accounts paid in full.
Our history report includes a month and year to date activity. It shows the period covered as well as the date it was prepared.

MBI has the ability to change any of these reports in any way you may need as well as provide you with ad hoc reports as needed. Additional charges may apply for more than three custom reports monthly.
